A leading Criminal, Civil Liberties, and Human Rights firm, known for handling high-profile cases in recent years, is seeking a Receptionist to manage the front desk alongside the Head Receptionist. The firm has a longstanding commitment to legal aid, while also diversifying income sources with private work.

The Receptionist will serve as the first point of contact for the firm, performing a variety of administrative tasks and providing support across the practice. Key duties include welcoming guests, coordinating front-desk activities, managing phone calls, and distributing correspondence. The ideal candidate should have a pleasant personality, as they will interact with clients regularly, handle emergencies promptly, and assist with office operations. Multitasking, prioritization, and attention to detail are essential for success in this role.

Responsibilities of the position will include:

  • Collecting DX mail from the DX office (Bank) twice a week and dropping off outgoing mail at the end of the day.
  • Greeting and welcoming guests upon arrival, notifying the relevant staff member and directing visitors to the appropriate meeting room or seating area.
  • Answering, screening, and forwarding incoming phone calls; take detailed messages when staff are unavailable.
  • Handling outgoing post, including franking and sending special or recorded mail to the post office.
  • Arranging couriers and parcel services as needed.
  • Ensuring the reception area and meeting rooms are tidy and presentable.
  • Maintaining office security by following safety procedures and controlling access at the reception desk.
  • Archiving files and arranging for remote storage of documents.
  • Ordering business cards and preparing invoices, processing payments (training will be provided).
  • Booking meeting rooms for staff, arrange appointments, and update diaries.
  • Conducting weekly stock checks for kitchen and office supplies.
  • Opening new files for the Criminal Department using Access Legal Fusion software (training will be provided).
  • Purchasing office supplies.

The ideal candidate will have a professional attitude and appearance, strong written and verbal communication skills, and proficiency in Microsoft Office.
