We are recruiting on behalf of a well-established national law firm with a strong presence in Walsall, renowned for the exceptional Legal Aid work it delivers.
This is an exciting opportunity for an organised, proactive and detail-focused Office Administrator to join the team and play an important role in supporting the day-to-day administration of the firm.
You'll become a key member of the office administration team, supporting essential processes including time recording, file management, Legal Aid case management system, and archiving, while also assisting with the smooth running of the Walsall office.
About the role
Working as part of a busy and supportive team, your responsibilities will include:
- Checking files to ensure time and travel entries are accurate.
- Preparing and inputting Legal Aid bills using the firm's case management system.
- Managing online billing submissions, with particular responsibility for Mental Health team.
- Ensuring files are archived promptly once monies have been received and bills paid.
- Managing petty cash.
- Maintaining accurate records throughout the billing and file management process.
Office Administration & Reception Support
- Supporting the Office Manager with general administrative duties.
- Providing reception cover during lunchtime, holidays and periods of absence.
- Meeting and greeting visitors professionally.
- Booking and managing meeting rooms.
- Answering and appropriately forwarding incoming calls.
- Dealing with incoming post and recording incoming cheques.
- Franking outgoing post.
- Responding to general email enquiries.
- Providing occasional holiday cover at the firm's other local office.
Archiving
- Retrieving and returning files to storage.
- Maintaining accurate archive records.
- Liaising with archive storage providers regarding files due for destruction and ensuring records are kept up to date.
General & Ad-Hoc Duties
- Monitoring and ordering stationery and office supplies.
- Managing weekly confidential waste.
- Assisting with weekly office fire alarm checks and other basic Health & Safety duties.
- Undertaking occasional ad-hoc errands and providing general support to the wider office team.

Previous experience within a law firm, Legal Aid, legal billing or file administration environment would be advantageous, although candidates with strong transferable administration experience will also be considered.
